This Privacy Policy describes the policies of Meetify, 1507 Southwood Ave, Charlotte, NC, 28203, United States of America, contact us via our contact us page regarding the collection, use and disclosure of your information that we collect when you use our website (Meetify.com, our/the “Service”). By accessing or using our Service, you are consenting to the collection, use and disclosure of your information in accordance with this Privacy Policy. If you do not consent to the same, please do not access or use our Service.

We may modify this Privacy Policy at any time without any prior notice to you and will post the revised Privacy Policy on our Service. The revised Policy will be effective 7 days from when the revised Policy is posted in the Service and your continued access or use of the Service after such time will constitute your acceptance of the revised Privacy Policy. We therefore recommend that you periodically review this page.

How We Collect Your Information:

We collect/receive information about you in the following manner: 

  • When an individual fills out the registration form for an account with our Service or otherwise submits personal information, such as when a user creates an invitation to a meeting
  • When an individual interacts with the website
  • From public sources

How We Use Your Information:

We will use the information that we collect about you for the following purposes:

  • Marketing/ Promotional
  • Creating user account
  • Testimonials
  • User feedback collection
  • Enforce Terms of Service
  • Customer Support
  • Manage subscription and billing

How We Share Your Information:

We share your information with third-party service providers as needed to operate, secure, and improve our Service, and to enable features you choose to use. Tools used for analytics only run after you provide consent through our cookie settings.

  • Analytics - Currently, we partner with Google Analytics, which is a service provided by Google Inc, as our analytics partner to provide information on how users interact with our site. You can opt-out of Google Analytics service using your information by installing the Google Analytics Opt-out Browser tool: https://tools.google.com/dlpage/gaoptout.
  • Session Replay & Error Tracking - We use a session-replay and error-tracking tool (LogRocket) to help us understand how our service is used and to fix bugs. It may record on-screen interactions while you are using the Service. It does not capture passwords or payment information. Session replay features only run when you have consented to analytics cookies. For details, see LogRocket’s privacy policy.
  • Authentication services - If you choose to sign in with Google or Apple, we receive basic account information from that provider, such as your name and email address, so we can create and authenticate your Meetify account. We do not receive your password. For more information, see the Google privacy policy and Apple privacy policy.
  • Communications services - Currently we partner with Plivo, SendGrid (a Twilio company) and Beehiiv to provide communication services that users of Meetify need when interacting with our Service. For more information on how each partner collects and uses data, please visit their respective privacy policies (Plivo privacy policy, SendGrid privacy policy, Beehiiv privacy policy). Use of Meetify requires use of these communication services.
  • Calendar and video integrations - When you choose to connect a calendar or video service, such as Google Calendar, Microsoft Outlook/Office 365, or Google Meet, we use the provider’s APIs to read and write the limited event and meeting information needed to schedule and manage your meetups. We do not use these integrations for advertising. For more information, please refer to the privacy policies of Google and Microsoft.
  • Payments provider - Currently we partner with Stripe to provide billing services for paid subscription customers of Meetify. Stripe collects payment processing data. For information on how Stripe collects and uses this data, please visit Stripe's privacy policy.

This list may not be exhaustive, but we commit to keeping it updated based on information from these providers. We require such third parties to use the personal information we transfer to them only for the purpose for which it was transferred and not to retain it for longer than is required for fulfilling the said purpose.

We may also disclose your personal information for the following: (1) to comply with applicable law, regulation, court order or other legal process; (2) to enforce your agreements with us, including this Privacy Policy; or (3) to respond to claims that your use of our Service violates any third-party rights. If our Service or our company is merged or acquired with another company, your information will be one of the assets that is transferred to the new owner. 

Google Calendar Sync:

Our optional Google Calendar Sync feature provides enhanced functionality by integrating your Google Calendar with our platform.

Enabling a Google Calendar integration will allow our site to access the following data from your Google Calendar account:

  • Your different calendars
  • Event data including event name, description, URL, time, location, and participants' names and emails

We do not store your non-Meetify Google Calendar events. We store only the API token data and calendar Ids necessary for the integration. We employ industry-standard security measures to protect this information. We retain the API token data and calendar Ids for as long as your account remains active.

Access to your Google Calendar is limited to:

  • Displaying your Google Calendar events on our platform to help you find the best times for scheduling meetups
  • Adding or removing potential or finalized meetup times in your Google Calendar
  • Checking for conflicts between potential meetup times and existing events in your Google Calendar

We access Google APIs in accordance with the Google APIs Terms of Service. Meetify's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements. You can revoke Meetify's access to your Google Calendar at any time by visiting the Third-party apps & services page in your Google account.

Microsoft Calendar Sync

If you connect a Microsoft Outlook or Office 365 calendar, we access the same types of information described above (such as your calendars and event metadata) for the purpose of showing availability, checking for conflicts, and adding or updating Meetify events in your Microsoft calendar. We do not store your event details on our servers beyond what is necessary to provide the integration, and we do not modify other events that were not created or managed through Meetify. You can revoke Meetify’s access to your Microsoft calendar at any time by managing app permissions in your Microsoft account. Google Meet Integration

Our optional Google Meet integration allows you to add Google Meet video links to Meetify events.

If you enable this integration, we use your Google account permissions to create Google Meet links and attach them to events you schedule through Meetify. We do not record or monitor your meetings, and we only request the minimum access needed to generate and insert meeting links. Retention and Deletion Of Your Information:

We will retain your personal information with us for 90 days to 2 years after you or any other user who has added your information terminate your accounts or for as long as we need it to fulfill the purposes for which it was collected as detailed in this Privacy Policy. We may need to retain certain information for longer periods such as record-keeping / reporting in accordance with applicable law or for other legitimate reasons like enforcement of legal rights, fraud prevention, etc. Residual anonymous information and aggregate information, neither of which identifies you (directly or indirectly), may be stored indefinitely.

We respect your privacy and offer you the ability to request the deletion of your user data from our systems. To initiate a data deletion request, please contact our Data Privacy Officer via our contact us page. In your request, be sure to include your name, username, and any relevant details that would help us identify your account. We will process your request and respond within 7 days to confirm the deletion of your data or provide an explanation if we are unable to fulfill your request.

Your Rights:

Depending on the law that applies, you may have a right to access and rectify or erase your personal data or receive a copy of your personal data, restrict or object to the active processing of your data, ask us to share (port) your personal information to another entity, withdraw any consent you provided to us to process your data, a right to lodge a complaint with a statutory authority and such other rights as may be relevant under applicable laws. To exercise these rights, you can write to us via our contact us page. We will respond to your request in accordance with applicable law.

You may opt-out of direct marketing communications or the profiling we carry out for marketing purposes by writing to us via our contact us page.

Do note that if you do not allow us to collect or process the required personal information or withdraw the consent to process the same for the required purposes, you may not be able to access or use the services for which your information was sought.

Our Service may contain links to other websites that are not operated by us. This Privacy Policy does not address the privacy policy and other practices of any third parties, including any third party operating any website or service that may be accessible via a link on our Service.
