Given that 55 million meetings are held every week in the U.S., it benefits business leaders and employees to know how to plan and execute them purposefully. Meetify surveyed 100 professionals to learn their meeting habits and preferences and discovered useful insights about when it's best to schedule in person meetings versus when a remote meeting is ideal.

People tend to create habits, even when it comes to meetings, that they don't think about every time they schedule one. This can be a problem for achieving business goals since each type of meeting is better designed for specific purposes.

For example, face to face meetups tend to be ideal anytime the main purpose of a meeting is relational.

The top 3 meeting goals respondents cite for preferring to meet in person are to:  

  1. Share confidential information.
  2. Work through conflict.
  3. Get to know or develop a deeper connection with the other person.

On the other hand, meeting online tends to be ideal when the main purpose of a meeting has to do with completing a task in an efficient way.

The top 3 meeting goals people cite for preferring to meet virtual are to:  

  1. Exchange updates and keep moving forward on a task or project.
  2. Come to a decision or consensus on a significant matter.
  3. Secure high attendance at the meeting.

When people do meet in person away from their homes or offices, their top two preferences for locations are:

  1. Coffee shops
  2. Restaurants

While it's fairly easy to plan a virtual meeting, thanks to many tools that either launched or got a significant boost during the pandemic, scheduling these types of face to face meetings can take more effort.

Survey responses indicated the three most challenging parts of planning in person meetings are:

  1. Finding a date and time that works for everyone.
  2. Planning a meeting with multiple people.
  3. Deciding on the best location for all attendees.

For meeting planners, their top motivations for scheduling to meet in person are:

  1. It's easier to fully and accurately communicate when meeting in person.
  2. Meeting in person eliminates some of the distractions of a virtual meeting.
  3. I would like to get to know or develop a deeper connection with the other person.

Meeting planners top reasons for scheduling virtual meetings are:

  1. It’s logistically easier than scheduling one in person.
  2. The distance between people is too far to meet in person.
  3. I would like to save the commute time.

Interestingly, in person meetings leave more people with a positive outlook on life than virtual meetings.
